QR menu or paper menu: which is better for a restaurant?

Short answer: a QR menu is better when you change prices or dishes often and your guests speak different languages. A paper menu is better when some guests do not read menus on a phone or the internet is unreliable. In many places, using both together works best.

What a QR menu is

A QR menu is a menu web page that opens on the guest’s phone when they scan the QR code on the table. No app is needed: the phone camera recognises the code and the menu opens in the browser.

The main difference from paper is that the QR code points to the menu’s address, not to the prices themselves. So when you change a price or a dish in the menu dashboard, the printed code stays the same and the guest sees the new menu the next time.

How it works for the guest

  1. The guest points the phone camera at the QR code on the table.
  2. A link appears on the screen; tapping it opens the menu in the browser.
  3. The guest browses categories, photos and prices and, if the menu is in several languages, picks a language.
  4. The order is usually given to the waiter. If the restaurant has table ordering switched on, the guest can send the order themselves.

Advantages of a QR menu

  • Change a price, description or photo without reprinting the menu.
  • Hide a dish for a while when it runs out, and bring it back when you have it again.
  • The same menu in several languages: the guest picks the one they prefer.
  • Photos, weight or portion size, allergens and other details that take up space on paper.
  • One QR code for all tables, or a code for each table if you use table services.

Advantages of a paper menu

  • No phone, internet or charged battery needed.
  • Some guests, especially older ones, find a paper sheet more convenient.
  • The whole menu is visible at a glance and the table can look at it together.
  • It suits places where the menu does not change for years.

Changing prices and reprinting

On a paper menu, changing a price means a new print or a correction by hand, which guests do not like. If you change prices often, that cost and time come back every time.

In a QR menu the price is changed in the dashboard: Dishes → Edit → Price → Save. The QR code on the table stays the same, so no printing is needed. If a QR code leads to a PDF file or an image rather than to the menu’s address, a price change needs a new file and sometimes a new code too. So when choosing a QR menu, check that the code points to a live menu.

A menu for tourists

Where some guests come from abroad, one menu in several languages answers many questions. On paper that means a separate print for each language. In a QR menu the guest picks the language, and you write each dish’s text in each language.

In QRMENUS the menu can be in Georgian, English and Russian (on the Pro and Business plans; the Free plan has one language).

What to keep in mind

  • The guest needs internet. If the mobile signal is weak, Wi-Fi for guests helps.
  • A guest without a phone needs the menu another way: on paper or through the waiter.
  • The QR code must be easy to scan: big enough, well lit, on an undamaged surface.
  • A digital menu is only worth it if you keep it up to date. Old prices are as much a problem in a digital menu as on paper.

Which option suits which place

Small cafe

If the menu is short and prices change often, a QR menu cuts the need to print. To start, the free plan may be enough if you have few dishes.

Large restaurant

In a large menu, photos, categories and several languages are hard to fit on paper. A QR menu arranges this easily; keep a few paper copies for guests who prefer them.

Bar

In bars the drinks list and offers change often, especially during Happy Hour. A digital menu shows these changes right away. In dim light, check that the QR code still scans well.

When to combine both formats

Often both is best: a QR code on every table and a few paper menus for guests without a phone or who prefer paper. Then the paper can carry only the main dishes, while the full menu with photos and current prices is available by QR.

Frequently asked questions

Yes, if the QR code points to the menu’s address. In QRMENUS you change the price in the dashboard and the printed code stays the same.
Does a QR menu need internet?
Yes, the guest’s phone needs internet to open the menu. If the signal is weak, Wi-Fi for guests helps.
